1. Making your reservation
- Decide how many people you need to accomodate
and what dates you plan to visit.
- Call us at (800) 822-2121 or (252) 354-2131
Mon. - Sat. from 8:30-5:00, and from 9:00-
5:00 on Sundays. Stop by our office at 7603
Emerald Drive and talk with someone on our
reservation staff.
- Book your reservation on-line and/or preview
our homes at www.coastland.com, 24
hours a day.
2. Confirming your reservation and payment schedule:
- CENTURY 21 Coastland Realty mails, emails, or faxes a Vacation Rental Agreement the day you book the reservation. Upon receipt, you have 7 days to mail back the signed agreement to our office with your payment.
- Travel Insurance premiums are paid with your first payment. Once paid these are non-refundable. BE SURE TO INITIAL THE RENTAL AGREEMENT in the appropriate area if you decline the insurance
- Your final payment is due 30 days prior to your arrival.
3. Upon your arrival:
- Check-in is at our office located at 7603 Emerald Drive between 3:00 and 5:00 PM (There may be exceptions to this).
- Late check-ins may pick up their keys at the Emerald Isle Police Station at 7500 Emerald Drive, located a block from our office under the water tower.
- Tentative reservations for next year can be made anytime BEFORE
your departure(Please do this during the week, MONDAY - FRIDAY).
4. Departure
- Check out is 10:00 AM at the CENTURY 21
Coastland office. NO EXCEPTIONS in the
summer season.
- If you need to get an early start home, there
is a convenient drop off slot in the window at
the rental office.
- Please return all key packets to the CENTURY
21 Coastland office and report any
damages in writing. Include all keys, car tags,
gate cards, and pool tags in the packet. There
is a charge for each item not returned.
- Have a safe and pleasant trip home!
OFFICE HOURS
We are open 7 days a week. Monday-Saturday from
8:30 to 5:00. Sunday 9:00-5:00. Winter - Sunday 10:00-3:00. ADVANCE
RESERVATIONS
When reserving 30 days or more in advance,
payment is required within 7 days from the date of making the
reservation. The reservation deposit is 1/2 of the rental amount for
a weekly reservation. For less than a week, full payment is required.
If the payment is not received before the due date, your reservation
is cancelled. We ask that upon receipt of the VACATION RENTAL
AGREEMENT, if you choose not to keep the reservation, please notify
our office so we may re-rent the unit.
GUEST LICENSE AGREEMENT
Upon booking your reservation we
will email, mail or fax a Guest License Agreement to you for your required
signature. Please return a signed copy with your first payment.
FINAL PAYMENT
Final payment is due in full 30 days prior to checkin;
we accept personal checks, money orders, cash or credit cards for
this payment. ALL MONIES WILL BE DEPOSITED INTO AN INSURED
INTEREST BEARING ESCROW ACCOUNT WITH THE
INTEREST ACCRUED TO THE CREDIT OF CENTURY 21 Coastland
Realty, Inc. at Bank of America, NA Emerald Isle. CENTURY
21 Coastland Realty, Inc. may, from time to time, forward advance
reservations payments (not to exceed 50% of total rent). There is a $25
charge for all returned checks for non-sufficient funds or stop payment.
Should you choose to pay by credit card at any time there is a
convenience fee charge for this service.
CHECK IN TIME/LATE ARRIVALS
Check in time is at 3:00 PM
or later. Please understand most units will be ready, but if there is a
maintenance issue or something unforeseen, we will have the property
available as soon as possible. If you arrive after business hours you
may pick up your keys at the Emerald Isle Police Department located
one block from our office on the left. Please understand this is a police
department and they provide this service as a favor to all parties
involved. PLEASE DO NOT GO TO THE RENTAL PROPERTY PRIOR
TO CHECK IN AT OUR OFFICE, THIS WILL DELAY YOUR
CHECK IN PROCESS. CLEANING CREWS WILL NOT ENTER A
PROPERTY THAT APPEARS TO BE OCCUPIED. At check in time
you will receive two keys and the necessary gate cards, parking passes
and pool tags.
CHECK-OUT TIME
10:00 AM is check out time and is strictly enforced
in the summer season. PLEASE DO NOT GO BACK TO THE
RENTAL UNIT! The cleaning and maintenance crews are out during
this time. Bring all keys, pool tags, gate cards and parking passes (this
applies to condo units) to our office in the packet provided. There is
a charge for each item not returned. Should you check out before we
open, and the item is missing when the key packet is checked, you
will be notified by someone from our office and given the replacement charge. Replacement items must be provided immediately so that future
guests can enjoy their vacation.
TRIP CANCELLATION/INTERRUPTION PLAN
CENTURY 21
Coastland Realty, Inc. offers CSA Travel Protection Cancellation/Interruption
Plan to every guest and is automatically applied to your
reservation. If you do not want to purchase the CSA Travel Protection
Plan please initial the contract and send this signed agreement
with your first payment. The premium for the policy is paid with your
initial payment. We DO NOT refund travel insurance monies, as the
premium is sent to the CSA agency when it is received. We strongly
recommend travel insurance so you and your family are protected if
your travel plans change or some unforeseeable event occurs. If you
choose not to purchase this plan, NO REFUNDS will be given in the
event of cancellation, INCLUDING hurricane evacuation. You will
be mailed a brochure describing this service with your guest license
agreement, or you may read this information online at www.coastland.
com. For more information you can call CSA Travel Insurance
at (800) 554-9839.
SECURITY/DAMAGE DEPOSIT
All reservations require a credit
card number. Firm may charge the amount of any unpaid long distance
or per call telephone charges and cable television charges that
arc not specifically described in this agreement as being included with
the Premises. For purposes of this Agreement, shall include, but not
be limited to, Tenant's failure to return keys, car passes, gate cards,
Il.l1d/orpool tags to the Firm's office at the end of the Tenant's tenancy,
($20.00 shall be charged for each item not returned, with the exception
of gate cards which are $50.00) excessive wear and tear of the
Premises, and failure of Tenant to perform Tenant's obligations as set
forth in this Agreement. Any advance payments, made by Tenant shall
be deposited in a trust account with Bank of America; NA located in
Emerald Isle, NC. Tenant agrees that such trust account shall be an
interest bearing account and that any interest thereon shall accrue to
the benefit of the Firm.
CANCELLATIONS
If you have to cancel your reservation your deposit
will only be refunded if your unit is re-rented. If we re-rent the
unit for the same period as your ORIGINAL reservation we will refund
your advance deposit, less the $50 reservation fee, plus a $25.00
cancellation fee. We STRONGLY recommend purchasing the CSA
Travel Insurance. If we have a Mandatory Evacuation due to a Hurricane
then YOU file a claim with CSA Travel Protection. All inquires
concerning the status of your refund should be made directly to CSA
Travel Protection (the insurance you had the option to purchase) at
1-800-554-9839. If you did not purchase the CSA Travel Protection,
CENTURY 21 Coastland Realty, Inc. will be unable to issue any refunds
due to HURRICANE EVACUATIONS. Reimbursement by CSA is
subject to their insurance policy terms and conditions.
HURRICANE EVACUATION
Please listen to the Weather Channel
or local TV station if a storm is off the coast. We are referred to as The
Crystal Coast or Bogue Banks. If we are issued an evacuation please
do not delay in this process. Our first concern is your safety and then
to protect the property from storm damage. We ask that you bring in
all porch furniture, lock all windows and doors, turn off the water,
electric and gas connections. Please take all personal items and food
with you. Turn in your key packet to our office before you evacuate. If
you are able to return after the evacuation has been lifted, a new key packet will be issued. We thank you for your help and we will unboard
as quickly as manpower allows once the storm passes. Again, we urge
you to purchase Travel Cancellation/Interruption Plan. This MUST
be purchased by the renter in order to receive any type of refund due
to hurricane evacuations. After the storm, call (252) 354-2131 and
listen to our voice mail system for up to the minute info on the re-entry
process (this system will be working as long as our generators are
functioning). All inquiries concerning the status of your refund, due
to a hurricane evacuation, should be directed to CSA Travel Protection
at (800) 554-9839 from 6:00 AM - 5:30 PM Pacific time. You will
need your folio/reservation number to fill out their forms.
FAMILY GROUPS ONLY
Our cottages and condominiums are rented
to families ONLY! This eliminates prom, sorority or fraternity, and
GROUP PARTIES. Violation of this policy is cause for immediate
eviction without refund.
GRILLING ON DECKS & BALCONIES
In the state of North Carolina
the Law prohibits grilling on the decks and balconies of rental
properties. You may grill only on concrete surfaces away from all
wooded surfaces. Should the owner provide you a grill at the rental
home, you are responsible for cleaning it and providing the needed
supplies unless otherwise stated.
HENNA TATTOOS
Tenant is responsible for any damages to carpet and furniture from dye.
PETS
MMOST RENTAL units DO NOT allow pets of any kind. This
rule is strictly enforced. There are a few homes that allow pets for an
additional charge. Check our brochure or call our office and ask about
our pet friendly homes. This fee covers additional cleaning and extermination
of the homes (Sorry, no cats). Emerald Isle has a mandatory
“Leash Law” and “Pooper Scooper” rule stating you must clean
up behind your pet. Please do not bring a pet into a NON-PET home
as many people are “allergic” and is it unfair to future guests of these
homes. ANY PET FOUND ON OR AROUND A NON-PET HOME
IS GROUNDS FOR EVICTION, FORFEITURE OF ALL MONIES
PAID AND A NON-DECLARED PET FEE OF $100 AT THE SOLE
DISCRETION OF CENTURY 21 COASTLAND REALTY, INC.
MAINTENANCE
We CANNOT guarantee the operation of all appliances.
We make every effort to keep all equipment in working order. If
something is NOT working, check the breakers and/or switches first.
All appliances, heat/air units are done on a call-in basis. After hour
maintenance problems can be reported by calling (252) 354-2131.
(TENANTS WILL BE BILLED FOR UNNECESSARY SERVICE
CALLS). Our voice mail system will automatically page someone in
our maintenance division. Response time averages 30 minutes or less,
unless they are detained on another emergency. Please do not use this
service if it is something that can wait until the next morning at 8:30
when we open. Your cooperation in this matter is greatly appreciated.
Our policy is NOT to refund any monies due to the failure of appliances
(this includes air conditioners), we do take steps to get things
taken care of in a timely manner. PLEASE remember to NOT set the
A/C unit below 70 as this will overwork the unit and cause it to freeze
up. The refrigerator should be set on the middle setting. Please remember
it takes 12 to 24 hours for a refrigerator to get products to
desired coolness.
LOCK OUT POLICY
If you are locked out of your unit during business
hours stop by our office to pick up a key. There is a $25 LOCK
OUT FEE if someone from our office has to go to the property. Response
time, again, can take up to 30 minutes.
MESSAGES, MAIL, PHONE SERVICE
Most of our units have telephones
for your convenience with long distance and internet access.
You may receive messages, mail, and faxes at our office (252) 354-2083
during office hours. Only emergency messages will be delivered.
LOST & FOUND
CENTURY 21 Coastland Realty, Inc. is NOT responsible
for items left. Please take a few moments to look to be sure you
have everything. However, should you REQUEST us to locate an item, there is a minimum fee of $25 plus the mailing cost. Items found are
held for 30 days after which they are donated to a local charity.
GARBAGE AND RECYCLING
Garbage is collected twice weekly,
both Monday and Thursday (Oceanside) or Tuesday
and Friday (Soundside) in Emerald Isle between the dates of
Memorial Day and Labor Day. Recycling will be picked up on Wednesday. Recycling is collected in either the blue roll out trashcans
or the green bins.
PROPERTY LISTED FOR SALE
Occasionally, some of our rental
homes may be listed for sale. We appreciate your cooperation in allowing
a qualified buyer look at the property. We will make every effort to
schedule the showing when it is a convenient time and not interrupt
your vacation.
OWNER'S CLOSET
The vacation rental you have rented may have
a closet door, cupboard or garage that is locked. Please respect the
owner’s property and do not tamper with it. These areas are checked
after you depart and you will be held responsible for any damages that
have incurred if they have been tampered with.
DEPARTURE DUTIES
As a service to you, departure cleaning is included
on all reservations. Things for our guests to do:
• Take all trash to outside containers (in bags)
• Turn off ALL lights, set thermostat to 78° in summer and 55° in the
winter
• Return all furniture to original location
• Remove all food from cabinets and refrigerator
• Wash dishes, pans, etc.
• Remove dishes from dishwasher
• Close and lock all windows and doors
• Check closets, drawers, and under beds for personal belongings
• Linens that are rented, put in bag provided and on porch (make sure
only linens and towels are put in bag, NOT blankets and mattress
pads, etc.)
• Make all beds up with spreads
• There will be a charge if left excessively dirty
SWIMMING POOLS/WHIRLPOOLS/ELEVATORS
Most pools are
open from Memorial Day to Labor Day. Swimming pools, hot tubs,
spas, whirlpools, Jacuzzis, elevators and other such amenities and appliances
cannot be guaranteed to be in working order. Every effort
is made to have them in working order, but NO REFUNDS or DISCOUNTS
are given in the event they should be inoperable.
OCEANFRONT STEPS, BOARDWALKS, DOCKS AND WALKWAYS
In the Emerald Isle area we are known to have nor’easters
which will cause the beach to change from year to year. Steps, docks
and boardwalks may be missing or may not be replaced due to storm
damage. The Coastal Area Management Act has guidelines that may
prohibit the reconstruction of steps in narrow beach areas. Our brochure
goes to press during the fall, when our nor’easters are in effect,
therefore when you make your reservations, please ask about the beach
access to or from your vacation property. The photos in our brochure
may not reflect the accurate design of the boardwalk, steps, gazebos or
dune decks due to these circumstances.
We have made every effort to be sure the information in this brochure
is accurate, however some changes may be made to the contents after
printing. All the owners reserve the right to change prices, furniture,
furnishings, bed sizes, phone service and/or equipment at any time.

property. CENTURY 21 Coastland Realty, Inc. reserves the right to substitute
an equivalent property. Our staff will make every effort to notify
you of any changes when possible. CENTURY 21 Coastland Realty,
Inc. shall not be responsible for statistical or printing errors.
Due to state regulations regarding septic permits, some information presented may
be inaccurate as the availability of these permits is limited. Every effort has
been made to ensure all information is accurate and specific guidelines of
the Carteret County Health Department have been followed. Our realty
firm shall not be liable for unintentional errors, omissions, or changes in
the advertisement of bedrooms and occupancy. The information herein is
